How do I access AccelTrax outside of work?
From ANY personal computer or laptop that has internet access, open the web browser (example: Internet Explorer) and type in the top address bar... www.ardmoreinc.org ... this will get you to our HOME PAGE and then you can navigate to STAFF > STAFF INTRANET > ACCELTRAX TIMEKEEPING.
What do I do if AccelTrax is down?
Firstly... if AccelTrax is down or your INTERNET is down... MAKE SURE YOUR TIME IS RECORDED ON A TIME SHEET just in case this lasts for the duration of your shift. Secondly, report the "system down" to your supervisor so that we can troubleshoot the problem.
Having trouble logging in?
Be sure you are keying in the correct Employee ID and last four digits of you SSN. If you do not know your Employee ID please contact your supervisor.
What if I don’t know my consumer’s number?
On the Accel Trax "Report Work" screen (where you enter your time), in "Segment Information", you’ll notice Find Consumers in the upper left corner. Click here and follow the directions at the top. If you work with the same consumer’s daily, add them to your Consumer List, by clicking the "Add To List" button. They will stay in your list for further use.
Why do I HAVE TO read any UNREAD MESSAGES before I can Report my time?
AccelTrax has an internal messaging system. This is here for work purposes only. It’s simply a way for you to communicate with employees and supervisors. If you have any unread messages, a screen will appear directly after logging in; you must open and read any unread messages before moving on. This is IMPORTANT in making sure that our communication channels are maintained to everyone.
What is the difference in Segments and Shifts?
A Shift is your entire day. From the time you walk into work to the time you leave to go home. (I.e. regardless if you had breaks, went to lunch, switched consumers, driving to another office). A Segment is the explanation of your shift. (I.e. If you work with multiple consumers during a shift you will enter each consumer as one segment. Lunch breaks, drive time, breaks in between consumers; they’re also entered as individual segments) There is no limit to how many segments you need.
What is the difference between a Task Code and a Task Element?
A Task Code is a code that corresponds with the service you provided while working with the Consumer. Task Elements are the goals from the Consumer’s ISP that must be recorded when reporting work.
How do I know my time was recorded?
While logged into AccelTrax you will take your mouse cursor to the far left of the screen. Click on EMPLOYEE INFORMATION and a WORK INFORMATION screen should come up. If you have just entered time for the current Pay Period, then your time entered will appear in BLUE under REPORTED WORK.
How do I know my time was approved?
While logged into AccelTrax you will take your mouse cursor to the far left of the screen. Click on EMPLOYEE INFORMATION and a WORK INFORMATION screen should come up. If you look at the section called WORK SUMMARY at the top of the AccelTrax screen, you will see a chart of HOURS REPORTED and HOURS APPROVED. If the number of hours reported and the number of hours approved are wrong please contact your Supervisor.
How do I know what my accrued vacation or sick time balances are?
Every payday you receive a pay stub that details your earnings, withholdings and taxes. This stub also details the VACATION and SICK (for full-time employees) Accrual Time that may be used as requested. Please check these balances BEFORE requesting and/or reporting VACATION or SICK time. If you need to verify time accrued you may contact your Supervisor or the Ardmore Payroll department at 330.535.2601.
